What is a task?
A task is the basic unit in the Taskey app. You can share a single task with a client or group, or you can add several tasks together to build a task set, known as a ‘taskey’.
Each task has a name, and can contain all or a selection of:
- A video file
- Up to 10 photos (20MB each)
- An audio file (max. 1 minute)
- A PDF (up to 21MB)
- Task duration, repetitions, or sets and repetitions
Once you have created a task, you will want to assign it to a client or group. Once you have selected recipients from your Contacts or Groups, you can:
- Add an end date or due date
- Set a completion frequency e.g. 2 x week
- Update duration/sets/reps for the individual client or group.
What is a taskey?
A taskey is a group of tasks that share the same completion frequency; for example, 2 x a week or 3 x a day.
When you create a taskey, you will add a name or title, then add or link tasks under the title. You can:
- Link tasks by selecting them from your existing task list
- Build a new task on the spot by selecting +Create new Task.
Once you have created a taskey, you can assign it to one or more contacts or groups.
Before sending you can:
- Add an end date or due date
- Set a completion frequency e.g. 2 x week
- Update duration/sets/reps for the individual client or group.
How much content can I add to a task?
Taskey currently limits content element sizes at:
- Video: max. size 1GB
- Photos: max. size 20MB each
- Audio: max. 3 minutes long
- PDF: max. size 21MB.
These limits may change or be removed as the Taskey app matures.
Can I use Taskey offline?
No, you can only send and receive tasks when you are connected to WiFi or mobile data.
Can I set reminders for my clients?

Full adaptive display for tablets is on its way in a future release of the app
Can I share my library with a colleague in my practice?
Not yet – but soon! An upcoming major release will allow teams to collaborate effectively, with practitioners able to access, create, and share tasks and taskeys within a shared digital library.
What are my legal obligations to clients?
When you share images of a client directly with them, you must consider that you now have video or photos of that person in your task or taskey library. Although you can confidently share those images with that client, you must not share those tasks and images with other clients or groups unless you have verifiable permission to do so.
If you work with groups and intend to share images of the group or individuals within the group, you should:
- Only share these images with the group in question
- Obtain prior permission from group members to take and share their image
When working with clients or students who are under the age of 18, you should obtain permission from their parents to take and share their image with them, and/or with other members of the group.
Is my library stored securely?
Taskey uses Heroku Cloud, a cloud application platform used by organisations of all sizes to deploy and operate applications throughout the world.

What happens if I share inappropriate material?
The Taskey app reserves the right to remove content that could be considered harmful or unlawful. If your clients receive a task they consider harmful or unlawful, they can report this task and Taskey will remove it.
Where there is repeated or extreme misuse of the Taskey app, and/or use that can be interpreted as intentional, the app reserves the right to remove your account.
While the Taskey app is not responsible for the content you share, it will take steps to ensure your clients, especially minors, are protected from inappropriate material.
